Wellness Alternatives ("Wellness Alternatives," "we," "us," or "our") respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains what information we collect through our website located at www.wellnessalternativesmi.com (the "Site"), how we use and protect it, the limited circumstances in which we share it, and the choices available to you.
Please read this Policy carefully. By using the Site, you acknowledge that you have read and understood this Policy. If you do not agree with our practices, please do not use the Site.
This Policy applies to information collected through the Site. It does not apply to information you provide directly to Wellness Alternatives in the course of clinical care, or to third-party platforms we link to that operate under their own privacy policies (see "Third-Party Services" below).
1. Who We Are
Wellness Alternatives is a functional and integrative medicine practice located at:
2165 Commons Pkwy, Okemos, MI 48864
You can reach us regarding this Policy at WellnessAlternativesMI@gmail.com or 517-719-0730.
2. Information We Collect
We collect information in three ways: information you give us, information collected automatically, and information from service providers.
Information you provide to us
- Contact and inquiry information. When you complete a form on the Site (for example, a contact, intake, or appointment-request form) we collect the information you submit, which may include your name, email address, phone number, and the contents of your message. Our forms are hosted through our customer relationship management provider (see "Third-Party Services").
- Chatbot conversations. If you interact with the chat assistant on the Site, we collect the information you provide during that conversation.
- Email and text message sign-ups. If you opt in to receive emails or text messages, we collect your name, email address, and/or mobile number and your consent preferences.
- Other communications. If you email, call, or otherwise contact us, we keep a record of that correspondence.
Please do not submit detailed health information, diagnoses, or sensitive medical details through Site forms or the chatbot. These tools are for general inquiries and scheduling. Clinical information should be shared only through the secure channels we provide for established patients.
Information collected automatically
When you visit the Site, certain information is collected automatically through cookies and similar technologies, including:
- your IP address and approximate location;
- device, browser, and operating system information;
- pages viewed, links clicked, and time spent on the Site;
- the website or source that referred you to us; and
- analytics and advertising identifiers.
See "Cookies and Tracking Technologies" and "Your Choices" below for details and how to opt out.
Information from service providers
We may receive information about you from the third-party platforms we use to operate the Site and communicate with you (for example, delivery and engagement data from our email/SMS provider, or interaction data from our analytics and advertising tools).
3. Third-Party Services and Tracking Technologies
We use a small number of trusted third-party services to run the Site, communicate with you, and understand how the Site is used. Each operates under its own privacy policy.
- GoHighLevel (CRM, forms, chatbot, email and SMS). Our contact forms, chat assistant, and email/text messaging are powered by GoHighLevel. Information you submit through these tools is processed and stored by GoHighLevel on our behalf under a signed Business Associate Agreement.
- JaneApp (scheduling and payments). Appointment scheduling and any payments occur on JaneApp, which operates on a separate website and domain. When you choose to book or pay, you leave our Site and are subject to Jane's privacy policy and terms. We have a signed Business Associate Agreement with our scheduling provider. No appointments are booked and no payments are processed on this Site itself.
- Google Analytics (GA4). We use Google Analytics to understand how visitors use the Site so we can improve it. Google Analytics uses cookies and collects usage data as described in Google's privacy policy.
- Meta Pixel and conversion tracking. We use Meta (Facebook/Instagram) advertising tools, including the Meta Pixel and conversion tracking, to measure the effectiveness of our advertising and reach people who may be interested in our services. These tools may set cookies and share certain technical and activity data with Meta.
- Embedded media. Some pages may include embedded media players (such as video). These embeds may set their own cookies or collect data when you interact with them.
We configure our analytics and advertising tools to avoid transmitting health-related details, and we do not intentionally share information that identifies you as having a particular health condition. We do not authorize our service providers to use your information for their own independent purposes beyond providing services to us.
4. How We Use Your Information
We use the information we collect to:
- respond to your inquiries and provide the information or services you request;
- schedule and manage appointments and communicate with you about them;
- send you emails or text messages you have asked to receive, including newsletters and practice updates;
- operate, maintain, secure, and improve the Site;
- measure and improve our marketing and understand which content is useful;
- comply with legal obligations and enforce our terms; and
- protect the rights, property, and safety of our patients, visitors, and practice.
5. How We Share Your Information
We do not sell your personal information, and we do not rent or sell our email or text-message subscriber lists.
We share personal information only as follows:
- With service providers who perform functions on our behalf (such as CRM, scheduling, hosting, analytics, and messaging), who are permitted to use the information only to provide services to us.
- With advertising and analytics partners through the cookies and tracking technologies described above, where you have consented, for measurement and advertising.
- For legal reasons, when we believe disclosure is required to comply with a law, regulation, legal process, or government request, or to protect rights, safety, or property.
- In a business transfer, if Wellness Alternatives is involved in a merger, acquisition, or sale of assets, in which case we will provide notice before your information becomes subject to a different privacy policy.
6. Cookies and Tracking Technologies
The Site uses cookies and similar technologies for essential functionality, analytics, and advertising. Essential cookies are necessary for the Site to work. Analytics and advertising cookies are used only where permitted.
Where required, we present a consent banner that lets you accept or decline non-essential cookies and tracking before they load. You can also manage cookies through your browser settings, though disabling some cookies may affect how the Site functions.
7. Your Choices and Privacy Rights
Everyone
- Cookie and tracking choices. Use our consent banner and your browser controls to manage non-essential cookies. You can opt out of Google Analytics using Google's browser opt-out add-on, and you can adjust Meta's ad preferences in your Meta account settings.
- Global Privacy Control. Where applicable, we honor recognized opt-out preference signals such as Global Privacy Control (GPC).
Email and text-message communications
You can opt out at any time:
- Email: click "unsubscribe" in any marketing email.
- Text messages: reply STOP to any message to opt out, or HELP for help. Message and data rates may apply. Message frequency varies. Opting out of marketing messages does not stop transactional messages related to care you have requested (such as appointment confirmations).
Residents of states with privacy laws
Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information, and to opt out of certain uses of it. Michigan does not currently have a comprehensive consumer privacy law, but if you are a resident of a state that provides these rights and they apply to us, you may exercise them by contacting us at WellnessAlternativesMI@gmail.com. We will not discriminate against you for exercising any privacy right. We may need to verify your identity before responding.
"Do Not Sell or Share" / targeted advertising
We do not sell your personal information for money. Some privacy laws define "sale" or "sharing" broadly to include certain advertising cookies and pixels. To opt out of these technologies, use our consent banner, enable Global Privacy Control in your browser, or contact us at WellnessAlternativesMI@gmail.com.
8. Privacy of Your Health Information
We take the confidentiality of health information seriously.
Wellness Alternatives is a cash-pay practice and is generally not a "covered entity" under the federal HIPAA rules, because it does not transmit health claims electronically to insurers. As a result, the formal HIPAA Notice of Privacy Practices framework does not apply to this practice. Even so, we treat patient health information as confidential and apply privacy and security safeguards consistent with the spirit of HIPAA.
- We maintain Business Associate Agreements with the vendors that handle patient-related information on our behalf (including our CRM/messaging and scheduling providers), which require them to protect that information.
- Clinical and scheduling records you create through our scheduling platform are maintained within that platform and are not stored on this Site.
- We do not use your health information for advertising, and we do not sell it.
- The forms and chat assistant on this Site are intended for general inquiries and scheduling only and should not be used to share detailed health information.
If you are an established patient, the specific ways we handle your clinical records are addressed directly with you as part of your care.
9. Data Retention
We keep personal information only as long as needed for the purposes described in this Policy, to provide services you have requested, to comply with our legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we take reasonable steps to delete or de-identify it.
10. Data Security
We use reasonable administrative, technical, and physical safeguards designed to protect the information we collect. However, no website, electronic transmission, or storage system is completely secure, and we cannot guarantee absolute security. You share information with us at your own risk and are responsible for keeping any account credentials confidential.
If we become aware of a security breach involving your unencrypted personal information, we will notify you as required by applicable law, including Michigan's Identity Theft Protection Act.
11. Children's Privacy
The Site is intended for adults and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us at WellnessAlternativesMI@gmail.com and we will delete it.
12. Third-Party Links
The Site may contain links to other websites and platforms (including our scheduling provider). We are not responsible for the privacy practices or content of those third parties. We encourage you to review the privacy policy of every site you visit.
13. Changes to This Policy
We may update this Policy from time to time. When we do, we will revise the "Last Updated" date above and, where appropriate, provide additional notice. Your continued use of the Site after changes take effect means you accept the updated Policy.
